Full Salary Range: Salary offers are determined based on final candidate qualifications and experience; the budget for the position; and the application of fair, equitable, and consistent pay practices at the University. The full salary range for this position is $24.95 - $42.10 /hr. The budgeted hourly range that the University reasonably expects to pay for this position is $24.95 - $28.00/hr.

Brief Summary of Job Duties:

Under the general supervision of the MCDB Senior Undergraduate Advisor, and with additional oversight from the EEMB Senior Undergraduate Advisor, provides first level student advising and guidance to approximately 3,500 new and continuing MCDB and EEMB students in Bachelor of Arts and Bachelor of Science degrees in 11 distinct and complex majors and pre-majors. Uses decision making and problem-solving skills to provide advising and guidance to students on various instructional and personal issues and problems. Interprets policy and assists students with resources and information needed for their degree program. Ensures students have met requirements for degree and works with students with GPA and other progress to degree issues. Refers students as necessary to Senior Undergraduate Advisors and/or other campus resources. Participates in various outreach activities and provides support to department events. Assists in the oversight and training of the student peer advisors. Provides necessary administrative support for course instruction.

Required Qualifications

  • Bachelor's Degree in related area and / or equivalent experience / training.
  • Familiarity with Academic Advising or Peer Mentoring.
  • Proficiency in Microsoft Word and Excel.
  • Ability to work in a collaborative environment.
  • Able to maintain organization and orientation to detail.
  • Ability to act as support role for any questions and guidance required.

Preferred Qualifications

  • Familiarity with UC policies.
  • Understanding of how to operate UCPath.
  • Experience communicating with academic faculty and personnel.

Job Functions and Percentages of Time:

Pre-Admission and General Advising - 55%

PRE-ADMISSION/ADMISSION Evaluates and acts on all requests to enter the major. Reviews each students' progress, advises student on schedule planning, assisting the student toward clarifying their academic and career goals through the selection of appropriate courses and development of suitable educational and experiential plans. Assists ineligible applicants, helping them to define and if necessary reexamine their academic and career objectives. Conducts interviews with transfer students exercising judgment with respect to acceptability of courses completed elsewhere for substitution in meeting major requirements and assist the students in the development of appropriate academic planning and preparation for entrance into any of the majors in biological sciences. Coordinates and participates in general information meetings for all new students with an interest in biological sciences.

ACADEMIC COUNSELING/ADVISING/CAREER AND GRADUATE SCHOOLS Provides individual academic counseling/advising in regards to major requirements, academic planning, course requirements, academic difficulties, transfer work, internship placement and graduation. Discuss major requirements and course offerings with potential majors. Evaluates students' major progress, guiding them in setting appropriate schedules. Identifies students' academic problems and suggests appropriate courses of action and/or educational resources available to them. Meets with transfer students to discuss their transfer work and exercise judgment with respect to accepting courses from other institutions towards departmental major requirements. Meets with new freshmen during Freshmen Orientation and one-on-one throughout the year providing academic information into the biological sciences. Evaluates and authoritatively signs petitions on behalf of the Chair regarding graduation matters, substitutions and waivers, and independent studies. Processes and approves or denies change of major petitions, reviews student's record for transfer work for major requirements, routes copies of petitions to Letters and Science, Registrar's Office and other departments as appropriate. Advises students interested in Education Abroad and independently approves for recommendation EAP programs. Provides career and graduate school information. Academic Probation, Restriction and Dismissal Analyzes student progress and tracks students in academic difficulty, assisting them with their academic and professional goals, identifying strengths and weaknesses in areas related to their major, and counseling them in developing an appropriate academic plan. Independently develops formal contracts with students who show continuing difficulty, counseling/advising them on setting realistic goals, and monitors progress. Reviews the progress of students on contract and appraises the Director of Undergraduate Studies of cases where dismissal from the major is appropriate.

Graduation - 15%

Graduation Matters Conducts degree evaluations for all departmental majors. Analyzes and acts on petitions for substitutions and waivers in major requirements, exercising judgment with respect to general guidelines and goals established by the department and independently acts upon these petitions. Serves as the resource to the College of Letters and Science and Registrar's Office for official undergraduate evaluations.

Program Administration - 10%

Outreach Participates in a variety of annual campus outreach efforts: Alumni Day, Spring Insight, Orientation, STEP, EAP, Summer Sessions and others. Responds on behalf of the department to all inquiries about the Department, College or University transfers, class schedules, catalogs, curriculum and major program requirements and makes this information available to the Office of Admissions, the Office of Relations with Schools, the Information Center, to counselors from junior colleges and high schools, and to others as appropriate. Advises prospective students, in writing or in special group meetings of the programs available in the department, other relevant campus programs, and career opportunities in the field of biological sciences. Annually reviews and updates articulation agreements between the University and the California Community Colleges, in conjunction with the Office of Relations with Schools and the College of Letters and Sciences, noting proposed and effected curricula changes and their effect on major requirements and student progress towards established degrees. Annually reviews, updates and maintains accurate general information sheets for each of the majors and distributes them to the Office of Admissions, the Office of Relations with Schools, the General Information Center, to counselors from junior colleges and high schools and to others as requested.

Program/General Administration - 15%

Curricular Matters Makes recommendations to senior advisors and identifies problems, interprets and creates policies and initiates new programs to ensure the undergraduate program meets the needs of the students while maintaining the goals and standards set by the department & the College. Student Resources and Files Serves as the departmental student records coordinator, attending required annual meetings and workshops with the Student Information Systems Office and keeping the department informed about rules and regulations regarding student records and issues of confidentiality. Maintains filing system of undergraduate student records, including active files of approximately 3500 major students as well as inactive files of previous undergraduate students (several thousand). Maintains confidentiality in the utilization of student files by faculty and staff. Grades Processing Coordinator for EGrades.

Miscellaneous Responsibilities - 5%

Occasionally work overtime, weekends and evening; must be present during spring insight, orientation and outreach events. Attend and assist in organizing the Biology undergraduate awards ceremony. Represents the Department on campus task forces and committees and at UC Academic Advisor Conferences. Perform other appropriate assignments, as directed.
